A good itinerary answers "where am I, what's next, and where do I sleep?" for every day of the trip. Copy the template below, fill in each day, and send it with — or after — your quote.

Tips for itineraries clients love

  • Lead with the summary. Most clients read the first screen only; put hotels, nights, and your contact there.
  • Use real times. "Pick-up 08:30 from hotel lobby" beats "morning tour".
  • Say what's included. Mark meals and entry fees as included or own cost.
  • Keep free time free. Suggest one or two options without overloading the day.
  • Make it phone-friendly. Short lines and clear headings read better in WhatsApp than dense paragraphs.

Itineraries that stay up to date

Documents go stale the moment a hotel or flight changes. In Tripdocks, itineraries are built from saved templates, sent as a branded PDF or a web link on your domain, and stay editable up to and after booking — so the client always has the current version. See the itinerary builder, or grab the quotation template too.

Frequently asked questions

What should a travel itinerary include?
A summary (destinations, nights, hotels, emergency contact), then each day in order: date, where the traveller is, timings, activities, meals included, transfers, and where they sleep — plus practical notes on documents, weather, and payments.
What's the difference between a quote and an itinerary?
A quote sells the trip: what's included and what it costs. An itinerary runs the trip: what happens each day, when, and where. Many agencies send a short itinerary with the quote, and a detailed one after booking.
How detailed should a day-by-day itinerary be?
Detailed enough that the traveller never has to ask 'what now?': times for pick-ups and flights, what's included, and where they sleep. Keep free time clearly marked, with one or two suggestions.
